Privacy notice

This explains what personal information I collect through this site and my coaching, why I need it, who else handles it, and what your rights are. If anything isn't clear, email me at hello@builtfromthegroundup.co.uk.

Who I am

Built From The Ground Up is run by me, Luke Jones, an online fitness coach based in Clacton-on-Sea, Essex. I'm responsible for the personal information described here (the "data controller").

    What I collect

    Only what I need for each step:

    • The quiz: your answers, your first name, your email address and your result.
    • Coaching applications: your name, email, Instagram handle if you give it, your goal, what you've tried before, how often and where you train, any injuries you choose to tell me about, how ready you are, your budget, when you want to start, and whether you want my emails.
    • Booking a call: your name, email and phone number, through Cal.com.
    • If you become a client: your onboarding answers (including a health questionnaire), measurements, progress photos, weekly check-ins and the messages we send each other. Payments go through Stripe, and I never see your full card details.
    • The starter plan: your email (and first name, if you give it) if you join the waitlist, and your purchase details through Stripe when you buy.
    • Where you came from: if you arrive through my Instagram or TikTok links, that's noted with your quiz answers, application or waitlist signup. Nothing is stored on your device for this.

    Why I use it

    Each use has a legal basis under UK data protection law:

    • To show you your quiz result and review your application, because you asked me to. This is the first step towards coaching you (taking steps to enter a contract).
    • To coach you once you sign up, because that's our agreement (contract).
    • To send you tips and coaching emails. If you chose "Show my result + send me Luke's tips" on the quiz, that's based on your consent. If you applied for coaching or bought the starter plan and didn't opt out, I can email you about similar coaching and plans (the "soft opt-in"). Every email has an unsubscribe link, and unsubscribing never affects anything else.
    • Injury and health information is extra sensitive. I only collect it if you choose to give it, I only use it to keep your training safe, and I rely on your explicit consent, which you can withdraw at any time.
    • To keep the site secure and stop spam, using Cloudflare's security check (legitimate interests).

    Who else handles it

    I never sell your information or share it for advertising. Only I see your application and coaching details. These services handle it on my behalf to run the site and the coaching:

    • Cloudflare: hosts this site, runs the security check and sends me application alerts.
    • Sender: stores email subscribers and sends my emails.
    • Cal.com: call bookings.
    • Google: onboarding and check-in forms, and the sheet your plan is delivered in.
    • Stripe: payments.
    • WhatsApp: messages between us once you're a client or have booked a call.

    Information sent outside the UK

    Some of these services store information in the US or the EU. Where they do, it's protected by the safeguards UK law requires, such as the UK's data bridge with the US or the UK's approved contract terms.

      How long I keep it

      • Email subscribers: until you unsubscribe. I keep your email address on a do-not-email list after that, so you're never added again by mistake.
      • Applications and quiz answers: 12 months if you don't become a client, then deleted.
      • Clients: for as long as I coach you. Health information, photos and check-ins are deleted within 12 months of your coaching ending. Payment records are kept for 6 years, because HMRC requires it.

      Cookies and your browser

      This site doesn't use advertising or tracking cookies. While you take the quiz, your answers are held in your browser's session storage so your result page and application can use them, and they're cleared when you close the tab. The quiz and application use Cloudflare Turnstile, an invisible security check that tells people from bots.         Your rights

        You can ask me to show you the information I hold about you, correct it, delete it, limit how I use it, or send you a copy. You can object to how I use it, and withdraw consent at any time. Email hello@builtfromthegroundup.co.uk and I'll reply within one month.

        If you're unhappy with how I've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I'd appreciate the chance to put it right first.

          Changes

          If I change how I use your information, I'll update this page and the date at the top. Big changes will also go out by email to anyone they affect.
